The spreadsheet tax

There's a spreadsheet in your business right now that started as a quick fix and became load-bearing infrastructure. Bookings, or stock, or a customer list. It works, sort of, and everyone's a little bit afraid to touch it.

For a lot of small businesses it isn't even a spreadsheet. It's a paper diary by the till, a notes app, or a WhatsApp thread you scroll back through to find who's booked in on Saturday. Same thing: the real system your business runs on is held together with tape.

That tape has a cost, and it's easy to miss because nobody invoices you for it. It's the half-hour every evening reconciling what got written down. It's the double-booking because two people wrote in different places. It's the customer whose details you can't find, the deposit you forgot to chase, the 'hang on, let me check' that makes you look less on top of it than you actually are.

None of those are disasters on their own. Added up over a year, they're a part-time job you're doing for free - and worse, they're the kind of admin that quietly caps how much you can grow, because the tape starts tearing the moment you get busier.

The instinct is to reach for an off-the-shelf app. Sometimes that's right. Often it isn't, because the generic tool does forty things you don't need, charges per user, and still doesn't match the one specific way your business actually works - so you end up bending your process around the software instead of the other way round.

What usually fixes it is something small and boring and exactly shaped to the job. A simple screen that lists your bookings and lets you add, edit and mark them done. An enquiry inbox that doesn't live in your DMs. A stock list that one person updates and everyone can see. Not a platform. A tool.
